    About ApproveMyDocs.com

  • ApproveMyDocs.com is a simple service that lets you obtain approvals for your daily office documents in a simple and efficient way. If your organisation uses paper or email based systems to process travel expenses, time sheets, invoices, etc., you can simply switch to Approvemydocs.com and do these in one place using any device that uses a browser to connect to the internet.

ApproveMyDocs was founded in London in 2013 by Zeeshan and Kashif, two ex-PwC consultants tired of seeing organisations struggling to keep their workflows in control or paying too much to develop bespoke solutions.

ApproveMyDocs is incorporated as a company limited by shares in England & Wales (Registration number 8377162).

  • Security Overview

  • We provide this overview so that you can better understand the security measures we’ve put in place to protect the information that you store using Approvemydocs.

    Secure Storage

ApproveMyDocs uses eUKhost Limited for data storage. eUKhost Limited stores data over data centers in Maidenhead and Milton Keynes in the UK. According to eUKhost Limited, they host more than 35,000 customers and more than 150,000 domains.

    Your Data is Backed Up

ApproveMyDocs and eUKhost keep redundant backups of all data over multiple locations to prevent the remote possibility of data loss. In the unlikely event of a failure, ApproveMyDocs will make efforts to restore the system as quickly as possible.

    Privacy

ApproveMyDocs employees are prohibited from viewing the content of files you store in your account, and are only permitted to view file metadata (e.g., file names and locations). Like most online services, we have a small number of employees who must be able to access user data for the reasons stated in our privacy policy (e.g., when legally required to do so). But that’s the rare exception, not the rule. We have strict policy and technical access controls that prohibit employee access except in these rare circumstances. In addition, we employ a number of physical and electronic security measures to protect user information from unauthorised access.

    Third-party Apps

If you choose to access ApproveMyDocs using third-party applications (“apps”), be aware that those apps utilise their own security protocols and have their own privacy policies. If you’re not comfortable with the privacy and security features of those apps, you shouldn’t use them to access ApproveMyDocs. For example, third-party apps might collect information that ApproveMyDocs does not, and might use information differently than Approvemydocs does.

Compliance with Laws and Law Enforcement

ApproveMyDocs has a policy to cooperate with law enforcement when it receives valid legal process, which may require ApproveMyDocs to provide the contents of your account.

Where do I report security concerns?

As we continue to innovate to make sure that our services are state of the art, and we will investigate any and all reported security issues concerning services or software. For a direct line to our security experts, report security issues to support@approvemydocs.com.

We will fully credit anybody whose reports lead to the improvement of our security.

  • ApproveMyDocs Terms of Service

  • Last Modified: 01 October 2013

Thank you for using ApproveMyDocs.com! These terms of service (the "Terms") govern your access to and use of ApproveMyDocs.com ("we" or "our") websites and services (the "Services"), so please carefully read them before using the Services.

By using the Services you agree to be bound by these Terms. If you are using the Services on behalf of an organisation, you are agreeing to these Terms for that organisation and promising that you have the authority to bind that organisation to these terms. In that case, "you" and "your" will refer to that organisation.

You may use the Services only in compliance with these Terms. You may use the Services only if you have the power to form a contract with ApproveMyDocs.com and are not barred under any applicable laws from doing so. The Services may continue to change over time as we refine and add more features. We may stop, suspend, or modify the Services at any time without prior notice to you. We may also remove any content from our Services at our discretion.

    Your Stuff & Your Privacy

By using our Services you provide us with information, files, and folders that you submit to ApproveMyDocs.com (together, "your stuff"). You retain full ownership to your stuff. We don't claim any ownership to any of it. These Terms do not grant us any rights to your stuff or intellectual property except for the limited rights that are needed to run the Services, as explained below.

We may need your permission to do things you ask us to do with your stuff, for example, hosting your files, or sharing them at your direction. This includes product features visible to you, for example, image thumbnails or document previews. It also includes design choices we make to technically administer our Services, for example, how we redundantly backup data to keep it safe. You give us the permissions we need to do those things solely to provide the Services. This permission also extends to trusted third parties we work with to provide the Services, for example eUKhost, which provides our storage space (again, only to provide the Services).

To be clear, aside from the rare exceptions we identify in our Privacy Policy, no matter how the Services change, we won't share your content with others, including law enforcement, for any purpose unless you direct us to. How we collect and use your information generally is also explained in our Privacy Policy.

You are solely responsible for your conduct, the content of your files and folders, and your communications with others while using the Services. For example, it's your responsibility to ensure that you have the rights or permission needed to comply with these Terms.

    Your Responsibilities

Files and other content in the Services may be protected by intellectual property rights of others. Please do not copy, upload, download, or share files unless you have the right to do so. You, not ApproveMyDocs.com, will be fully responsible and liable for what you copy, share, upload, download or otherwise use while using the Services. You must not upload spyware or any other malicious software to the Service.

You, and not ApproveMyDocs.com, are responsible for maintaining and protecting all of your stuff. ApproveMyDocs.com will not be liable for any loss or corruption of your stuff, or for any costs or expenses associated with backing up or restoring any of your stuff.

If your contact information, or other information related to your account, changes, you must notify us promptly and keep your information current. The Services are not intended for use by you if you are under 13 years of age. By agreeing to these Terms, you are representing to us that you are over 13.

    Account Security

You are responsible for safeguarding the password that you use to access the Services and you agree not to disclose your password to any third party. You are responsible for any activity using your account, whether or not you authorized that activity. You should immediately notify ApproveMyDocs.com of any unauthorised use of your account. You acknowledge that if you wish to protect your transmission of data or files to ApproveMyDocs.com, it is your responsibility to use a secure encrypted connection to communicate with the Services.

    Software and Updates

Your license to use the Software is automatically revoked if you violate these Terms in a manner that implicates our intellectual property rights. We hereby reserve all rights not expressly granted in these Terms. You must not reverse engineer or decompile the Software, nor attempt to do so, nor assist anyone else to do so.

    Property and Feedback

These terms do not grant you any right, title, or interest in the Services, Software, or the content in the Services. While we appreciate it when users send us feedback, please be aware that we may use any feedback, comments, or suggestions you send us or post in our forums without any obligation to you. These Terms do not grant you any rights to use the ApproveMyDocs.com logos, domain names, or other brand features.

    Other Content

The Services may contain links to third-party websites or resources. We do not endorse and are not responsible or liable for their availability, accuracy, the related content, products, or services. You are solely responsible for your use of any such websites or resources.

    Termination

Though we'd much rather you stay, you can stop using our Services any time. We reserve the right to suspend or end the Services at any time, with or without cause, and with or without notice. For example, we may suspend or terminate your use if you are not complying with these Terms, or use the Services in any way that would cause us legal liability or disrupt others' use of the Services. If we suspend or terminate your use, we will try to let you know in advance and help you retrieve data, though there may be some cases (for example, repeatedly or flagrantly violating these Terms, a court order, or danger to other users) where we may suspend immediately.

    ApproveMyDocs.com is Available "AS-IS"

Though we want to provide a great service, there are certain things about the service we can't promise. For example, the services and software are provided "as is", at your own risk, without express or implied warranty or condition of any kind. We also disclaim any warranties of merchantability, fitness for a particular purpose or non-infringement.

ApproveMyDocs.com will have no responsibility for any harm to your computer system, loss or corruption of data, or other harm that results from your access to or use of the Services or Software.

    Limitation of Liability

To the fullest extent permitted by law, in no event will ApproveMyDocs.com, its affiliates, officers, employees, agents, suppliers or licensors be liable for (a) any indirect, special, incidental, punitive, exemplary or consequential (including loss of use, data, business, or profits) damages, regardless of legal theory, whether or not ApproveMyDocs.com has been warned of the possibility of such damages.

    Modifications

We may revise these Terms from time to time and the most current version will always be posted on our website. If a revision, in our sole discretion, is material we will notify you (for example via email to the email address associated with your account). Other changes may be posted to our blog or terms page, so please check those pages regularly. By continuing to access or use the Services after revisions become effective, you agree to be bound by the revised Terms. If you do not agree to the new terms, please stop using the Services.

    Payment

Although we prefer Direct Debit, we may offer to accept major Credit/Debit Cards, BACS Transfer as acceptable methods of payment. Our Terms are payment for thirty days in advance. We have the right to charge on monies that remain outstanding a late payment interest at the rate of 2% above the prevailing Bank of England's base rate until such time as the balance is paid in full and final settlement. We reserve the right to seek recovery of any monies remaining unpaid sixty days from the due date via collection Agencies and/or through the Small Claims Court. In such circumstances, you shall be liable for any and all additional administrative and/or court costs.

    Cancellation Policy

If you would like to stop using our services, a minimum of 7 days notice of cancellation is required so we can tell the banks to stop charging you and close your account. Notification will be accepted only if an authorised Client representative using any method such as telephone, in person, sends it or text messages provided it is confirmed to us in writing or via email.

Termination of Agreements and Refunds Policy

Both the Client and ourselves have the right to terminate any Services Agreement for any reason, including the ending of services that are already underway. No refunds shall be offered, where a Service is deemed to have begun and is, for all intents and purposes, underway.

    Miscellaneous Legal Terms

These terms and the use of the services and software will be governed by laws applicable in England & Wales, and both parties consent to venue and personal jurisdiction there. These Terms constitute the entire and exclusive agreement between you and ApproveMyDocs.com with respect to the Services, and supersede and replace any other agreements, terms and conditions applicable to the Services. These Terms create no third party beneficiary rights. ApproveMyDocs.com's failure to enforce a provision is not a waiver of its right to do so later. If a provision is found unenforceable the remaining provisions of the Agreement will remain in full effect and an enforceable term will be substituted reflecting our intent as closely as possible. You may not assign any of your rights in these Terms, and any such attempt is void, but ApproveMyDocs.com may assign its rights to any of its affiliates or subsidiaries, or to any successor in interest of any business associated with the Services. ApproveMyDocs.com and you are not legal partners or agents; instead, our relationship is that of independent contractors.

    Cookie Policy

Most websites you visit will use cookies in order to improve your user experience by enabling that website to 'remember' you, either for the duration of your visit (using a 'session cookie') or for repeat visits (using a 'persistent cookie').

Cookies do lots of different jobs, like letting you navigate between pages efficiently, storing your preferences, and generally improving your experience of a website. Cookies make the interaction between you and the website faster and easier. If a website doesn't use cookies, it will think you are a new visitor every time you move to a new page on the site - for example, when you enter your login details and move to another page it won't recognise you and it won't be able to keep you logged in.

Some websites will also use cookies to enable them to target their advertising or marketing messages based for example, on your location and/or browsing habits.

Cookies may be set by the website you are visiting ('first party cookies') or they may be set by other websites who run content on the page you are viewing ('third party cookies').

What is in a cookie? - A cookie is a simple text file that is stored on your computer or mobile device by a website's server and only that server will be able to retrieve or read the contents of that cookie. Each cookie is unique to your web browser. It will contain some anonymous information such as a unique identifier and the site name and some digits and numbers. It allows a website to remember things like your preferences or what's in your shopping basket.

What to do if you don't want cookies to be set - Some people find the idea of a website storing information on their computer or mobile device a bit intrusive, particularly when this information is stored and used by a third party without them knowing. Although this is generally quite harmless you may not, for example, want to see advertising that has been targeted to your interests. If you prefer, it is possible to block some or all cookies, or even to delete cookies that have already been set; but you need to be aware that you might lose some functions of that website.
